Why Your Role Matters

The Administrative Officer, Graduations & Prizes team provides effective day-to-day administrative support within the Student Lifecycle team to ensure all services are provided efficiently to meet the operating needs of the Registrar & Student Services Unit (RASS) within the Division of the Deputy Vice-Chancellor Education & Student Experience. Working as part of the Student Lifecycle team, this position is responsible for undertaking a range of high quality, customer focused, business processes and communications. The Administrator will primarily focus jointly on the central management of student records, graduations, and prizes, and assist in running graduation ceremony events.

The role is 12-month fixed term (parental leave cover) with a possibility of extension for a few more months. We are looking for an ideal start date of early December 2024.

Main responsibilities Summary

  • Be the first point of contact for student enquiries relating to Graduation and University Prizes along with other internal and external stakeholders, maintaining effective channels of communication, analysing requests and correspondence to prioritise urgent and often sensitive matters
  • Assist with the preparation and execution of conferral of awards; and UNSW graduation ceremony events, both on and off campus
  • Assist with the accurate production of all graduation documentation
  • Provide high level administrative support to the Graduations & Prizes team and other teams within Student Lifecycle
  • Provide effective specialist advice relating to administrative guidelines, processes, policy and activities
  • Develop and maintain detailed filing systems, spreadsheets, databases, websites and other administrative systems as required

Who You Are

We are seeking a highly motivated and experienced administrator, confident in their skills in planning, problem solving and time management. You will be well organised, but also agile, able to manage competing priorities with ease. Our ideal candidate is passionate about higher education, aligned with UNSW’s vision and values and is excited to work on graduation ceremonies!

    • Demonstrated experience in an administrative environment
    • Prior experience in higher education will be highly desirable, but not essential
    • Previous experience working/organising events would be highly regarded
    • Proven ability to exercise initiative, think creatively and adopt an active approach to problem-solving
    • Proven ability to work accurately and with attention to detail in a high volume, process driven administrative environment with variable workflow patterns, and to fixed and often competing deadlines
    • Demonstrated skills in the use of standard office desktop software such as email, word processing, spreadsheets, and internet applications for researching and preparing reports, statistics and other documents
    • Excellent customer service skills, interpersonal, written and verbal communication skills with a demonstrated ability to liaise with a diverse group of stakeholders

Working hours will be Monday to Friday, business hours. The role will work on a hybrid basis (3 days in – 2 days home), although leading up to graduation and during graduation week, we will expect the successful person to work onsite at Kensington Campus every day. During busy event weeks (3 times a year), there is an expectation to work outside of regular days/hours as well.

This role will also require some lifting, moving equipment/resources around campus, and standing/walking for long periods of time during event weeks.
